Privacy Notice

At EverGrill ("EverGrill", "we", "us", or "our") we are committed to transparency, and we want you ("you" or "your") to understand how we collect, use, share and protect your information. This Privacy Notice describes how EverGrill handles information in connection with EverGrill's website, mobile app and related services (collectively, the "Services"), and when you otherwise interact with us.
We may change this Privacy Notice from time to time. If we make changes, the updated Privacy Notice will be made available through our Services, and if the changes are material we will provide a prominent notice and may also contact you directly by email or another method.
1. Information We Collect
The information we collect depends on how you use the Services. It includes:
1.1 Account information. To create an EverGrill account we require your name and email address, and we also collect your surname and phone number. We use your phone number to contact you about your bookings and to help you during an EverGrill BBQ experience. If you sign in with Apple or Google, we receive your name and email from them (Apple lets you choose to hide your email).
1.2 Payment cards. EverGrill uses a third party, Stripe, to process payments. We do not handle or store your full card number or CVC — those go directly to Stripe. EverGrill stores only a Stripe reference to the card, together with the card brand, last four digits, and expiry month/year, so that we can: (a) display the saved card to you in the in-app Wallet; (b) take or re-authorise a refundable security-deposit charge or hold, including re-authorising a hold off-session if your bank releases it before your checkout is processed; (c) charge any portion of a security deposit retained if you miss your checkout, leave the BBQ in a non-compliant state, or otherwise breach our Terms & Conditions; and (d) where loss or damage for which you are responsible is demonstrated and exceeds the deposit, charge the card off-session for, or otherwise recover, the balance you owe us under our Terms & Conditions. Stripe may collect additional device and contact information of its own (e.g. phone number, installed apps) to ensure secure and successful payment, per its own privacy practices. You can remove your saved card at any time from the in-app Wallet; removal is blocked only while a card is actively backing a live deposit hold on one of your bookings. 1.3 Location data. To show you EverGrill barbecues near you, we process your device's location when you view the map or home screen of the app. We also process the location and rental status of each barbecue, and information from the barbecue itself — such as the number of times it has been activated and its power consumption — to provide and monitor the Services.
1.4 Customer service information. When you contact us for support or assistance, you may provide contact information and other details, and we keep a record of your support interactions so we can respond to and help you. We may also use third-party AI tools (currently Google's Gemini) to help us understand and respond to your message; these providers act as our processors under appropriate data-protection terms and do not use your messages for their own purposes.
1.5 Device, usage and analytics information. We collect technical information from your device, such as a device identifier and a push-notification token (via Firebase Cloud Messaging), so we can operate the app and send you notifications. We use cookies and similar technologies, and analytics tools including Google Analytics, Google Tag Manager and Firebase, to remember your settings and understand how the Services are used so we can improve them.
1.6 Content you share. We collect information you share with us, such as when you report an issue with a barbecue or complete the feedback process, including any photos you choose to send us.
2. How We Use Your Information
We use your information, including your location, to:
2.1 provide the Services you request, including managing your account and booking history;
2.2 monitor and service the EverGrill barbecues, including while you are using them;
2.3 take payments, deposits, refunds and any discounts through our payment provider (Stripe);
2.4 communicate with you about your account, bookings and transactions, including service-related announcements such as changes to our policies, and — where you have agreed — to send you surveys or marketing about our Services;
2.5 understand how the Services are used and improve them, including through analytics;
2.6 comply with our legal obligations; and
2.7 detect, investigate and prevent fraud, abuse, security issues and activity that breaches our Terms & Conditions or the law, which may include sharing information with law enforcement or other authorities.
3. Who We Share Your Information With
We share your information only where necessary to deliver the Services and as described in this Privacy Notice:
3.1 Service providers. We use trusted providers who act on our behalf — for example Stripe (payments and refunds), our hosting and infrastructure providers, analytics providers (such as Google and Firebase), AI providers that help us handle customer-support enquiries, notification providers, and customer-service tools. They may only use your information to provide their service to us.
3.2 Government, regulatory and law enforcement. We may share your information where reasonably necessary for legal reasons — to comply with the law or a lawful request, to detect or prevent fraud or other illegal activity, to protect the safety of you or others, or to defend our legal rights or enforce our Terms & Conditions.
3.3 Business reorganisation. We may share your information as part of a sale, merger, change of control, or in preparation for any of these.
3.4 Aggregated or de-identified information. We may share aggregated or de-identified information that cannot reasonably be used to identify you.
4. Legal Bases
Where data protection law (including the UK GDPR) applies, we rely on one or more of the following legal bases to process your information:
4.1 Performance of a contract — to provide the Services and meet our obligations under our Terms & Conditions. For example, we cannot provide the Services without processing basic information about you and the location of the barbecue you use.
4.2 Consent — where you have given it, such as to send you marketing, to connect a third-party sign-in (such as Apple or Google), or to access device features you enable (such as your camera or photos). You can withdraw consent at any time.
4.3 Legal obligation — to comply with the law, respond to lawful requests from authorities, verify identity, manage insurance, or establish, exercise or defend legal claims.
4.4 Vital interests — where necessary to protect someone's life or prevent serious injury.
4.5 Legitimate interests — where it is in our or a third party's legitimate interests and not overridden by your rights, including to: manage our fleet of barbecues (availability, usage levels and faults); improve the Services through research and analytics; keep the Services safe and secure and investigate misuse, fraud or abuse; promote the Services; and understand and respond to your feedback. You can object to processing based on legitimate interests by emailing help@evergrill.co.uk.
5. How Long We Keep Information
We keep your information for as long as is reasonably necessary to provide the Services to you, or until your account is deleted, whichever is longer, and for any longer period required by law. When you delete your account, it may take additional time to fully remove your information from our systems and backups, and we may retain certain information to prevent fraud, collect amounts owed, comply with our legal obligations, or enforce our legal rights.
6. Deleting Your Account
Once logged in, you can delete your account at any time from the profile screen using the "delete account" button, or by emailing help@evergrill.co.uk. This action is irreversible. Your account and personal data will be erased from our database; we keep booking records only in anonymised form.
7. Your Rights
If you are located in the UK, EEA or Switzerland, you have a number of rights over your information. Some apply generally and some only in certain cases:
7.1 Right to object — to processing based on our legitimate interests, in certain circumstances.
7.2 Right of access — to a copy of the information we hold about you and an explanation of how it is used.
7.3 Right of rectification — to have inaccurate information about you corrected.
7.4 Right of erasure — to have your information deleted, in certain cases.
7.5 Right to restrict processing — in certain cases.
7.6 Right to data portability — to receive certain information in a structured, commonly used, machine-readable format.
7.7 Right to withdraw consent — at any time, without affecting the lawfulness of processing before withdrawal.
To exercise any of these rights, or if you have concerns about how we process your information, contact us at help@evergrill.co.uk. You also have the right to lodge a complaint with your local data-protection supervisory authority (in the UK, the Information Commissioner's Office).
8. Your Choices and Communications
You have choices about the collection, use and sharing of your information; if you do not want EverGrill to collect your information, please do not use the Services. To change the communications you receive, including opting out of marketing, email help@evergrill.co.uk at any time — we may still send you non-promotional messages about your use of the Services. You can review, change or delete your information at any time by logging in and editing your profile, or by contacting us at help@evergrill.co.uk.
